Ghost Media Works Privacy Policy
Last updated: October 27, 2026
This policy explains what Ghost Media Works ("we", "us") does with information about you when you visit our website (https://ghostmediaworks.com) or use Ghost Writer, our dictation app. The short version: your voice and your words stay on your PC. We only receive what is needed to give you an access key and keep it working.
What stays on your PC
Ghost Writer turns speech into text on your own PC. Your voice and the words you dictate are never sent to us or to anyone else. These things are kept on your PC, in your Windows profile (%LOCALAPPDATA%\Ghost Writer), and nowhere else:
- your last 50 dictations, so you can copy them again (you can clear them at any time);
- voice notes you choose to record, with their sound and text, and recordings you choose to transcribe;
- for voice notes you check with Train My Ghost, the sound of that note and the corrected words, so Ghost Writer can learn the words you use;
- your notes, dictionary, learned fixes, custom voice commands and settings;
- counts such as how many words you've dictated and your speaking speed (never what you said);
- an error log and a crash log that record faults in the app, not what you said or wrote.
Some features look at your screen or listen while you aren't dictating, and only when you turn them on:
- Screen context reads the words in the window you're typing into, to spell names right. It skips password boxes, private browser windows and password managers, keeps what it reads in memory only, and never saves or sends it.
- Always listening waits for "Hey Ghost". It keeps nothing it hears apart from the command you give.
While the microphone is on, Ghost Writer also listens to what your PC's speakers are playing, so it can remove that sound (an echo) from your microphone. It holds only the last two seconds, in memory, and never saves, writes down or sends it.
Uninstalling Ghost Writer leaves this folder in place so you don't lose your notes. Delete the folder to remove everything.
What goes online
Ghost Writer connects to the internet for these reasons only:
- Checking your access key. When it starts and about once an hour while it's running, Ghost Writer sends our key server your access key, a scrambled code for this Windows installation (a one-way scrambled form of its Windows ID, not your PC's name), the Ghost Writer version and a random number used once. For each key the server keeps: the PCs it's used on (by that scrambled code), when each was first and last seen, the version each one runs, and which days each PC checked in (kept for 13 months). It also keeps daily totals of checks, not linked to you. The reply is a signed pass that lets Ghost Writer work offline for up to 3 days. The reply can also tell Ghost Writer the oldest version that may still be used, any feature we've turned off for everyone, or a short message for all users; nothing more is sent from your PC for these.
- Checking for updates. About once a day, Ghost Writer asks GitHub, where our downloads are hosted, whether there is a newer version, and downloads it if you choose to update. You can turn update checks off in Settings.
- Advanced mode, if you choose to download it, also comes from GitHub.
When you ask Ghost Writer to open a website or search the web, it opens your web browser, and that website's own privacy policy applies. If you use an AI tool you run yourself (such as Ollama or LM Studio), Ghost Writer talks to it on your own PC only.
Whenever your PC connects to a server, that server sees your internet (IP) address. Our key server doesn't store it: it keeps a scrambled form of it to limit repeated wrong keys and requests, and those counts are deleted within about 2 days.
When you request access
The Request access form asks for your name, your email address and, if you like, how you'd use Ghost Writer. We store these with the date and a scrambled form of your internet address (to stop abuse). We use them only to review your request, email you your access key, and contact you about your key or important changes to Ghost Writer. We don't send marketing emails, and we don't sell, rent or share your information for advertising.
We also keep a record of what happened to your request and key (for example when it was approved, when a new PC started using it, or when it was turned off), which names you, plus any notes we add to manage your key, such as how many PCs it allows or when it ends.
We keep your request, key details, the records above and our emails with you while your key is active, and for up to 12 months after it ends or is refused, unless you ask us to delete them sooner. We may keep a short record longer only if the law requires it or to deal with a dispute. Our key server deletes these automatically 12 months after a key ends or a request is refused, and keeps its record of what happened for at most 24 months.
When you email us
If you email us, for example with Contact us in Ghost Writer, we get your email address and what you write. Contact us opens your own email app with a message that already names your Ghost Writer and Windows versions; nothing is sent until you send it, and a crash log is attached only if you choose to attach it. We use your email only to answer you and fix problems, and delete it within 12 months after we're done, unless it's part of your key request (see above).
This website
This website has no ads, no analytics and no tracking cookies. Its fonts and images are served from the website itself. If you pick a light or dark theme, your browser remembers that choice on your own device. The website is hosted by GitHub and delivered through Cloudflare; like any web host, they see visitors' internet addresses, may keep short-term logs and may use a strictly necessary security cookie to keep out attacks and robots. No other company collects information about your activity across other websites through this website.
Do Not Track: we don't track visitors across websites, so we treat every visitor the same way whether or not their browser sends a "Do Not Track" or Global Privacy Control signal.
Our feedback page is on GitHub. Anything you post there is public and GitHub's own privacy statement applies, so never post anything private.
Who helps us
We use a few service providers, only to run Ghost Writer and this website, and they may only use your information to provide their service to us:
- Cloudflare runs our key server, stores the access key and request information above, and delivers this website.
- GitHub hosts this website, our downloads, our update information and our feedback page.
- Google (Gmail) is the email service we use to send access keys and reply to you. We are based in the United States, and our providers' servers may be in the United States or other countries. We may also share information if the law requires it, or to protect our rights or our users' safety, or as part of a sale or merger of our business (in which case this policy would continue to apply).
Your choices and rights
You can ask us to show you, correct or delete the information we hold about you, or to stop using it. Deleting it ends your access key. Email us from the address you gave us (so we know it's you) and we'll reply within 30 days. Depending on where you live (for example in a US state with a privacy law, the European Union, the United Kingdom or California), you may have further rights under local law, including the right to complain to a data protection authority. We won't treat you differently for using these rights. We don't sell or "share" personal information as California law defines it, and we don't use it for targeted advertising or profiling.
During the beta, access keys are offered only to people in the United States, and we handle requests from the United States.
Where EU or UK law applies, we use your request information because you asked us for a key (to take steps at your request) and for our legitimate interest in preventing abuse and keeping Ghost Writer working.
Children
Ghost Writer and this website are not meant for children under 13, and we don't knowingly collect information from them. If you believe a child has sent us information, contact us and we'll delete it.
Security
Access keys are checked over encrypted connections, and passes are digitally signed so they can't be forged. Your saved key is locked to your Windows account. No system is perfectly secure, but we keep what we hold to a minimum, and if something goes wrong that puts your information at risk, we'll tell you as the law requires.
Changes
If we change this policy, we'll post the new version here and change the date at the top. For significant changes we'll also tell you in Ghost Writer. Products we haven't launched yet (such as Ghost Media Hub) are not covered until we add them here.
